The ResultsAiX Support Desk, Screen By Screen

In short

More than half of my support tickets were answered by something I had already written down. Here is the desk that answers those before they ever become tickets, set up step by step.

This is the ResultsAiX Support Desk, screen by screen. A full helpdesk inside your own WordPress, on your own AI key and your own database. Every screenshot below is the real interface. Follow the eight steps and you will have it running today.

Here is a number worth sitting with. Go and read your last fifty support tickets, and count how many were answered by something you had already written down somewhere.

Not the hard ones. Not the refunds, the edge cases, the ones where somebody has genuinely found something. The other ones. Where is my download. Which email did I buy with. Does this work with my theme. How many sites can I use it on. What is in the bundle.

On my own desk it is more than half. Every one of those cost a customer a wait and cost me a reply, and the answer was already sitting in my documentation before they asked.

So the desk stopped being a form that collects questions, and became something that answers them first. Here is exactly how to set it up, and what each screen does for you.

8steps from install to answering
0monthly helpdesk fees
1WordPress you already own
100%of the tickets in your database

Step 1: Install It And Run The Two Minute Wizard

Upload the plugin, activate it, paste your licence key. The setup wizard opens on its own the first time and asks four short questions: who answers, where your customers should go, what you sell, and which AI key to use. It looks at your site while it asks, so most of it is already filled in.

Nothing here is a one-way door. The wizard can be run again any time, from a button on the Dashboard, and it never overwrites what you have already set. If you skip a step it tells you later, in a line at the top of the inbox saying what is still missing.

🔑

Your own AI key

Claude, OpenAI or Gemini. You pay the provider directly at their published rate. There is no AI fee on top and no markup.

🗄️

Your own database

Every ticket, contact and message is a row in your WordPress. Nothing lives on somebody else’s server, and nothing is held hostage.

🔁

Run it again whenever

Changed your mind about where customers go, or added a product? Open the wizard again. It is safe every time.

Step 2: Teach It What You Already Wrote

This is the step that decides how good everything after it will be, and it is the one most people skip.

The Knowledge Base tab takes what you have already published: your documentation, your sales pages, a folder of text files, or a single JSON export of your whole help centre. It reads them, groups them by product, and tells you in plain English what it understood before you save anything.

The knowledge base screen showing what the support desk understood from your own documentation

That screen matters because a knowledge base is usually a black box. Here you can see the product it matched, the title it will answer under, and what it did with each field. If it read something wrong, you fix it before a customer ever sees it.

There is one tick on this screen worth more than the rest: read the documentation in my ResultsAiX plugins. Every ResultsAiX plugin ships with its own training and help articles. Tick that box and the desk swallows the lot, so it can answer questions about WP Sync, Mailer, the theme and everything else you sell without you writing a single article.

Step 3: Point Your Customers At It

Settings has one screen called Where customers go. You choose, per page, whether people land on the desk’s own page or one of yours, and it shows you the real address underneath each choice as you pick.

The Where customers go setting, choosing which page your customers land on

Use your existing contact page, or let the desk create one. Either way there is now one address you can put in your emails, your footer, your plugins and your thank you pages, and it will not change again.

Step 4: Watch The Contact Page Answer Before It Asks

This is the part that changes your week. A customer opens your contact page and the first thing they meet is not a form. It is a question box.

The ResultsAiX Support Desk contact page, asking what is wrong before showing a form

They type what is wrong in their own words. The desk searches everything you loaded in step 2 and answers, in a sentence or two, with the articles it used underneath so nobody has to take its word for it.

Then the honest bit. Underneath the answer are three buttons, and one of them is That sorted it.

The That sorted it button closing a question without creating a support ticket

Press it and nothing else happens. No ticket, no email address collected, no follow up asking how we did. The person got what they came for and left. On my own desk that is happening hundreds of times a month, and every one of those is a ticket that never existed.

🔎

It answers from your words

Not the open internet. Only what you loaded, so it cannot invent a feature you do not have or a price you do not charge.

🙈

Nothing kept unless they ask for a person

No email address is needed to use it, and the conversation is not stored unless it turns into a ticket.

🚪

A person is always one press away

The AI never blocks the road. Talk to a person is on screen the whole time, not buried three clicks deep.

Step 5: When They Do Need You, Nothing Gets Retyped

Press Talk to a person and the form appears with the conversation already attached.

The ticket form keeping the answer the customer already read, shown in a green bar

Read the green line at the top: we have kept what you already read. Whoever picks the ticket up can see the answer that did not work, so the customer is never sent back to the article they just told you was no help. That single line removes the most infuriating reply in support.

They can attach screenshots and files, and a picture of what they are seeing tells you more than three emails of description. Name is optional, email is not, and the product dropdown is filled from what you actually sell.

Step 6: Let Buyers Sign In With One Click

At the top of the contact page is a box for people who have bought from you. They type the email they bought with and press the button. No password, ever. A sign-in link arrives by email, and from then on the desk is built around their account.

A signed in customer chat showing what they own, their licence keys and sites left

Signed in, the same chat can see what they own, which licence keys are theirs, how many sites they have left and everything they have ever asked you. So “which email did I buy with” and “how many sites do I have left” stop being tickets and become answers, in the moment, at midnight, without you.

Step 7: Open The Dashboard, Not The Inbox

Everything above happens whether you are at your desk or not. When you do sit down, this is the screen you open.

The Support Desk dashboard: tickets waiting on you, AI drafted replies and fourteen days of new against solved

It answers the only question that matters first thing: what needs me today. The gold tile is the count of tickets waiting on you, and it is the only number on the screen you have to act on. Next to it are replies the AI has already drafted for you to read and send, what is waiting on the customer, how fast you have been replying, and the two that tell the real story: how many were answered by the AI, and how many questions never became a ticket at all.

Underneath, three lists that mean you never lose anybody: who has waited longest, the latest ticket in, and the latest customer reply. Then fourteen days of new against solved, so you can see at a glance whether you are winning or drowning.

Step 8: Work The Inbox, Where Every Row Says Whose Turn It Is

The inbox was rebuilt around one idea: a status should be a sentence, not a colour.

The Support Desk inbox, where every row says whose turn it is in plain words

New and not answered yet. Customer replied. Waiting on the customer. Solved. Closed. You can filter by any of them, so “what has been sitting with me since yesterday” is one click, not a scroll. The SPENT column shows what that customer is worth, and it counts each sale once no matter how many of your systems saw it.

Open a ticket and it reads like a diary. Every message in order, with pictures next to names, what they bought, which keys they hold, which sites those keys are on, and every previous conversation you have had.

Inside a support ticket, with the customer purchases, licence keys and sites in the sidebar

Replying is a proper editor, not a text box. Saved replies drop in already filled with the customer’s name and product. The AI can draft the reply from your knowledge base and tell you why it chose that answer, and you can edit every word before it goes. You can attach files back. And you choose what happens after you send: leave it open, mark it waiting on them, or solve it.

What The AI Actually Costs You

Every AI helpdesk on the market charges per resolution, per seat or per month. This one charges nothing, because it is not our AI. It is your key, billed by your provider at their rate.

So the desk shows you the bill instead of hiding it.

What the AI costs, measured from real tokens billed by your own provider

Real tokens from real answers, what it has cost per ticket, and what a hundred tickets would cost at that rate. No estimate, no marketing arithmetic. On a typical desk it is pennies, and you can switch models or turn any AI feature off entirely and keep using everything else.

The Rest Of What Is In There

📥

Bring your old helpdesk

Import from Freshdesk and friends. Old tickets keep their original dates, so they never pollute this week’s numbers.

🧾

References are numbers again

Ticket 1042, not a thirty character code. Customers can read it out on the phone.

✉️

Your own sending

SMTP like your mailer uses, with a test button that quotes the server’s own reply when something is wrong.

🛒

It can sell, quietly

Settings, Products. The desk knows what each customer does not own yet, so the right offer can appear where it makes sense.

🎨

Branded emails

Every message out looks like you, not like a helpdesk vendor with a logo in the footer.

🧑‍🤝‍🧑

Guests too

People who have never bought still get the chat, the answers and a ticket. Nobody is locked out for not having an account.

What It Will Not Do

It will not answer from the open internet. It only knows what you gave it, which is the point: it cannot invent a feature, a price or a policy you do not have.

It will not hide the human. Every AI answer carries a way to reach a person, and the AI never marks its own work as solved.

It will not show a customer what they have spent with you. That figure is for your eyes, on your side of the desk.

Where To Start

If you already run it, open your plugins screen and update, then do step 2. Tick read the documentation in my ResultsAiX plugins and watch what your desk knows go up before you have written anything.

If you do not, the whole thing is one plugin on your own WordPress: the AI contact page, the one click sign in, the inbox, the knowledge base, the imports and the email, with no per seat and no per resolution fee anywhere.

Put it on your own site

The ResultsAiX Support Desk, on your WordPress, on your AI key, with every ticket in your own database.

And if you want it along with everything else I build, it is in the bundle with every other ResultsAiX plugin and the theme, under one licence.
