📧 Confirmation And Reminder Emails

The Emails tab holds every message the webinar sends. Each one can be switched off or fully rewritten, and each ships with default copy already written so a new webinar works without you touching it.

The pre webinar sequence:

  • Confirmation, queued the instant someone registers, carrying their private join link and session time
  • Reminder 24 hours before the session
  • Reminder 1 hour before the session
  • Reminder 15 minutes before the session

Late registrations skip reminders:

Reminders are only queued if their send time is still in the future. Somebody who registers forty minutes before the start simply gets the 15 minute reminder and nothing else. Nothing arrives late or out of order.

Merge tags:

Use these anywhere in a subject or body:

  • {first_name}, which falls back to the word there when no name was collected
  • {webinar_title}
  • {join_link}, the attendee's own private room link
  • {replay_link}, the attendee's own replay link
  • {session_time}
  • {offer_url}, which falls back to the replay link if no offer URL is set

How sending works:

A background job runs every five minutes, takes up to fifty due messages at a time and sends them. A message that fails is retried, and after four attempts it is marked failed rather than retried forever. The plain text you write is wrapped into a simple, readable HTML email and bare links are made clickable.

Choosing how mail leaves your site:

Under Settings, Email Sending, pick one of three methods:

  • WordPress default, which uses whatever SMTP plugin you already run
  • SendGrid, using an API key you paste in
  • Mailgun, using an API key plus your Mailgun sending domain

Set the from name and from address there too. If a SendGrid or Mailgun key is missing, sending falls back to the WordPress method rather than silently dropping the email.

Deliverability:

Send from an address at your own domain, and test your own funnel end to end before you drive traffic. These are your emails to your audience, so they are written plainly with no plugin branding attached.
