By default the same person can book more than one session of a webinar. The Repeat Registrations And Cancelling section at the bottom of the Schedule tab lets you change that, and lets registrants move or cancel their own seat.

Repeat registrations:

  • Allow repeat registrations is the default and behaves as it always has: the same person can hold seats in several sessions.
  • One registration at a time gives each person a single active seat. Somebody who signs up again is shown their existing booking in their own timezone and sent their confirmation email again, instead of getting a second seat. The lock lasts until a number of days after their booked session, and you choose the number, from 0 to 365, starting at 3.

The tracking a person first arrived with, such as their affiliate id, campaign and source, stays with that booking. The rule applies wherever people register: the form, the shortcode and embed, and the API, which returns the person's existing join link.

Letting people switch sessions:

Tick Let them switch to a different session before theirs starts. When a registrant with a booking picks another time from the session picker, the form offers a button to switch their seat to that time. They keep their join link and their original tracking, the confirmation is sent again with the new time, the reminders follow the new time, and your autoresponder receives only the updated session time fields. AWeber (Legacy) cannot be updated after sign up, so it does not receive the change.

Switching only works before their booked session starts, and only to an upcoming session. It needs the session picker, so it suits one off and recurring webinars.

Cancelling:

Tick the option to add a Cannot make it? Cancel your registration link to the confirmation and reminder emails, or place {cancel_link} anywhere in an email yourself. The link opens a page with a confirm button. Nobody is cancelled until they press it, so an email security scanner that opens the link can never cancel anyone.

A cancelled registrant receives no more emails, is not counted as a no show and gets no follow ups, and is sent to your autoresponder with the Cancelled behaviour tag. They are free to register again straight away, and a new registration brings its own fresh tracking. The optional cancel line appears on the confirmation and the reminders, not on follow ups sent after the session.

Good to know:

  • Cancelled events are tagged in your connected autoresponders. They are not posted to the outbound webhook.
  • A cancelled registration still appears in your Leads Log and in your registration count.
